Compare hotel prices using the whole stay
A hotel comparison becomes useful when every option answers the same question: what will this stay cost for these guests, on these dates, with the arrangements we actually need? A low nightly headline cannot answer that on its own. Start with the whole booking, then add the practical costs of staying there.
You do not need a complicated spreadsheet. A short note with one row per hotel is enough. Keep the booking currency, payment timing and cancellation conditions beside the total so that a cheaper room with different terms does not accidentally appear equivalent to a flexible alternative.

Make the rooms genuinely comparable
Enter the full party before comparing results, including children and their ages where requested. Match the number of rooms, bed arrangement, room category and nights. A double room for single occupancy and a family room are different purchases even when the photographs look similar. Check whether an extra bed or cot is part of the confirmed price.

Separate spending from money held temporarily
Record the accommodation total, taxes and any compulsory property charges shown for your stay. Ask the property to clarify items labelled payable locally, especially whether they apply per room, per person or per night. Keep optional breakfast, parking and other extras on separate lines until you decide which you will use.
Also record any deposit or card authorisation described in the terms. Treat an amount held against your card separately from the expected cost of the holiday, while checking that you can accommodate it. Confirm the accepted card type and whether the person named on the booking must present it. These are property-specific questions, not assumptions to make from another stay.
Price the breakfast you can actually eat
Count the mornings on which your schedule overlaps with breakfast service. An early departure can make an included breakfast less useful; a late start might make it particularly convenient. Ask about the serving location and available arrangements if anyone in your party needs particular food choices. Compare the actual package description instead of assigning a value to the word included.
For parking, establish where the car will be, how you enter and whether you can come and go. Include the walk or shuttle from a remote car park. For a city stay without a car, replace parking with the journeys from the hotel to the places you plan to visit. A transport estimate belongs beside the room total, not hidden in a separate holiday budget.
Put a value on flexibility deliberately
Write down the exact cancellation deadline, including its stated time zone, and what happens after it. Record whether payment is taken now, later or at the property. If plans remain unsettled, compare the extra cost of a flexible rate with the money committed by the restrictive rate. This is a practical decision about your trip, rather than a reason always to buy one type. Check whether a flexible flight, changing work dates or an unconfirmed travelling companion makes flexibility more valuable on this particular booking.
Keep the final comparison and confirmation together
Before paying, compare the final payable screen with your notes and remove extras you did not choose. Save the confirmation, room description and relevant conditions somewhere you can open without searching your inbox. If the hotel quotes in another currency, label any pounds figure as an estimate and check your payment provider’s conversion arrangements.
Choose the hotel whose complete combination fits the trip. If two totals are close, use concrete differences such as a direct journey, suitable bed arrangement or useful cancellation deadline to break the tie. Packing cubes or another travel accessory should only enter the budget if you have identified a packing problem that it solves; they are not a requirement for getting a good hotel deal.
