Build a budget for one defined trip before comparing headline fares. Enter main transport, baggage, accommodation and transfers separately, then record food, optional activities and your chosen contingency. Use a total for the whole travelling party in every category so a per-person figure does not get counted twice.

Keep quoted and estimated amounts labelled in the notes and use GBP throughout. If a charge is unknown, leave it blank until you can supply an amount or a clearly labelled estimate. The calculator compares the sum of your category totals with the budget you enter; it does not obtain travel quotes or convert currencies.

Using your worksheet

  1. Convert each per-person, per-room or per-night quote to the full trip amount before entering it.
  2. Count transfers separately from other local travel and avoid including the same journey in both.
  3. Use your own dated conversion basis for foreign-currency quotes and record it in the notes.
  4. Review optional activities and contingency separately when revising a plan that exceeds the budget.
