Preserve the source data

Keep an unchanged copy of the supplied or approved dataset and record where it came from. Work in a separate analysis file or clearly separated working area. Do not correct the original silently, even if an entry looks wrong; record the issue and follow the assignment's instructions for handling it.

Add a short data description explaining columns, units and any codes you have been given. Distinguish missing values from genuine zeros and other meaningful entries. If the documentation is unclear, ask the course team before converting values based on an assumption.

Make the table understandable

Use clear column headings and keep related records aligned. Before sorting, check the full range or table that should move together. Inspect a few known records afterwards to confirm that labels and values still correspond. Sorting one isolated column can change relationships within the data.

Avoid relying only on colour or cell position to convey meaning. Record categories and decisions as explicit values where appropriate. Keep notes about excluded records or corrections in a documented location. A reader should not need to remember that a particular shade of yellow once meant 'check this later'.

Record transformations as decisions

For each meaningful change, note what you did and why: standardising a label, converting a unit, applying an inclusion rule or creating a derived column. Keep formulas visible and explain unfamiliar steps. Use methods consistent with the assignment rather than adding complicated processing simply because the software offers it.

If you use filters, record which criteria are active when creating an output. Hidden rows can make a chart or summary difficult to interpret later. Microsoft explains filtering as a way to display selected data; check whether the particular calculation you use includes or excludes hidden rows rather than assuming the effect.

Trace outputs back to inputs

Label charts and summary tables with meaningful titles, units and the relevant population or subset. Keep their source range identifiable. If you copy a result into a report, record the workbook version and output location so you can update it accurately after a correction.

Check a small sample manually or through an independent reasonable method appropriate to the course. Confirm that the number of included records matches your documented rule. This is a check on implementation, not proof that the method itself is suitable. Ask for academic guidance where the analytical choice remains uncertain.

Reopen and rerun the process

Save the workbook, close it and reopen it to confirm that links, formulas and outputs remain usable. Follow your own notes from the original data to a representative result. Identify any step that depends on memory or an undocumented manual edit and record it.

Before submission, check whether the brief requires formulas, the working workbook, a report or an exported dataset. Inspect the exact files being handed in and remove only material that the instructions say is unnecessary. Keep permitted working records so you can explain the analysis and respond to questions about how a result was obtained.
