Write a useful tech support request with evidence

Give tech support the symptom, affected device and checks already tried so the next action can be more precise.

Describe what you were trying to do and what happened instead. Include the exact error text where safe, the approximate time and whether the problem can be repeated. A clear report is more useful than a long list of unrelated attempted fixes.

Include the right context

Record device and application versions if you can find them through normal settings. Explain whether other people or devices are affected and whether the problem follows a particular file, room or connection.

List checks in order with their results: a normal restart changed nothing, another cable worked, or the same file opens elsewhere. Avoid claiming a root cause when the evidence only shows a symptom.

Protect private information

Crop or redact screenshots so they do not expose passwords, recovery codes, personal records or unrelated messages. Use the organisation's approved support channel for work information. Never send credentials because a person claiming to be support asks for them.

State the impact and any relevant deadline accurately. Include a safe contact method and the times you are available, then keep the ticket reference for follow-up.

A simple report structure

  • Task, symptom and exact error.
  • Device, time and whether the fault repeats.
  • Checks tried, results and practical impact.
