Check a downloaded PDF before filing it away

Open a downloaded PDF from a trusted source and check that it contains the pages you expected before filing it. Use an approved, updated viewer and follow your organisation's rules on managed devices. A filename ending in PDF doesn't establish that a file is safe, complete or the document you intended to keep.

Start from the service you deliberately used, such as a known retailer account, rather than an unexpected message attachment. If the source is suspicious, stop and use an independent trusted contact route. This guide covers checking an ordinary expected download, not bypassing security warnings or repairing a potentially malicious file.

Confirm the source and the actual filename

Find the download through the browser's normal interface or your approved file manager. Check that it came from the transaction or page you intended. Be cautious if a page asks for unrelated software, payment or security changes simply to view an ordinary document.

Use the file manager's supported option to inspect the file type where needed. Microsoft's File Explorer guidance explains viewing file extensions on Windows; other systems have their own official instructions. Don't rename an unfamiliar file to PDF to make it appear correct. Changing the name doesn't convert the contents or establish safety. If the type or source is unexpected, pause and seek appropriate support.

Open with an appropriate viewer

Use the viewer your device or organisation approves. Keep software current through authorised updates and don't disable protections because a document won't open. If a prompt asks to enable unrelated active content or run a programme, stop and assess the source instead of accepting it automatically.

For an expected document, check the first page and the page count displayed by the viewer. Look for the transaction, subject or date you intended, taking care with personal information on screen. A document that opens successfully can still be the wrong statement or an old version. The check is about the content you need, not merely whether the application displays something.

Inspect the parts that matter

Look through the pages needed for your purpose. A receipt might need the item details and payment information; a guide might need its final page and diagrams. Check for blank pages, cut-off text or missing attachments. Don't edit an original document just to make an unexpected figure look right.

If the download is incomplete, return to the trusted service and use its normal download process again. Keep track of which copy is which. Avoid uploading a private statement to a public conversion site to diagnose a display problem. Use the provider's support or your approved IT route when the source is trusted but the file still fails to display correctly.

File the checked copy with a clear name

Choose a permitted storage location and a name that identifies the document without exposing unnecessary personal information. Keep original content unchanged where it needs to be retained. A separate short note can record what you checked and any unresolved issue.

Confirm your backup arrangement for documents you need to keep, and don't delete the only copy merely because another filename appears in a cloud folder. Follow organisational retention rules for work records. The useful result is a readable expected document in a location you can find again, with uncertainty recorded where it remains. Opening the file is one check in that process, not a complete security or authenticity certificate.
